Chevron is accepting online applications for the position of Legal Administrative Assistant located in San Ramon, CA California/United States through May 21, 2019  at 11:59 (Eastern Standard Time).

Responsibilities for this position may include but are not limited to:

  • Prepares correspondence, presentations, and routine reports.
  • Coordinates logistics, agendas and presentation materials, for meetings, conference, and special functions.
  • Coordinates domestic and complex and extensive international travel logistics.
  • Tracks and coordinates all travel requirements including, visas, immunizations, photos, passport renewals, etc.
  • Prepares detailed itineraries.
  • Tracks and gathers related expenses and compiles complicated expense reports in expense reporting system (CTREX).
  • Creates and updates matters in internal matter management system (Team Connect).
  • Handles and processes settlements, e-billings, invoices, and payments within and outside the legal software system, Team Connect. Sets up vendors in internal vendor system.
  • Drafts, formats, and revises legal documents including complex agreements which require a very high level of word processing skills, attention to detail and excellent proofreading skills to assure accuracy and coherency.
  • Uses Microsoft Word track changes function and Workshare Professional to edit and revise documents.
  • Works in SharePoint uploading materials, calendaring, reviewing and researching documents and generating reports.
  • Follows through to ensure deadlines are met.
  • Assigns action items as needed and follows up for completion.
  • Researches inquiries and relieves leaders of administrative details.
  • Acts as an information resource in the area of computer systems support software and hardware technical support.
  • Assists and provides backup coverage to other legal assistants.
  • Handles all administrative assistant responsibilities for Managing Counsels and attorneys for the international litigation team and global transactions legal support team including managing calendars in Outlook, coordinating meetings, planning  events, registering for seminars and conferences, ordering office supplies, answering phones, coordinating office moves, maintaining files, and requesting badging and credentials for any visitors as needed.
  • Interacts professionally and effectively with senior management and handles sensitive and confidential materials with discretion.
  • Independently completes special projects, as requested.
  • Must be a team player and willing to assist other members of both legal teams, however needed.

 

Required Qualifications:

  • High School diploma or equivalent.
  • 5+ years administrative experience.
  • Experience with Video conferencing, Room Booking tools, and Travel and Expense & PCard reporting (Concur/CTREX).
  • Demonstrated high level of initiative and independence.
  • Demonstrated strong interpersonal skills.
  • Demonstrated ability to adapt readily to the needs of diverse work groups and remain calm under pressure.
  • Must possess the ability to maintain a high level of confidentiality and adapt to changing needs and deadlines.
  • Ability to effectively communicate (oral and written) at all levels of the organization.
  • Demonstrated ability to take initiative, prioritize and meet deadlines.
  • Ability to multi-task, anticipate needs and requirements, and follow through on commitments.
  • Strong organizational skills and attention to detail.
  • Proficiency in SharePoint, and MS office applications: Outlook, Word, PowerPoint.
  • Basic to intermediate skills in Excel.
  • Ability to problem solve and use good judgement in making sound decisions quickly.
  • Experience with Video conferencing, Room Booking tools, and Travel and Expense & PCard reporting (Concur/CTREX).


Preferred Qualifications:

  • Bachelor's degree
  • Legal experience; experience supporting litigation attorneys
  • 8+ years of legal administrative experience.
  • Experience with e-billing, matter management systems and setting up vendors in payment system.
  • Proficiency in MS office applications: Outlook, Word, PowerPoint, Excel, SharePoint and OneDrive.
  • Notary or willingness to become a notary.
